Which documents to gather

No sign-up, no data collection, everything is worked out right in your browser.

The document list by permit and by your situation: how your work is arranged, how you prove your funds, whether family comes with you. It is laid out not flat but the way a case unfolds in time: what to order in advance because another authority and an apostille stand behind it, what to gather for filing, and what you will need after a positive decision, on the way to the card. Every item shows whether an apostille or legalisation and a sworn translation are needed.

Where the list comes from. The same document classification that runs the client dashboard, compiled from the official sources of each procedure. What the public list leaves out, and why, is written underneath.

Your case

What to gather

16 documents, 2 with an apostille or legalisation, 1 with a sworn translation

Order in advance

Long chains: another authority, an apostille or legalisation, weeks of waiting. Start with these

  • Who you are

From Spain and from every country you resided in over the last two years (art. 62.3.c of Law 14/2013). Apostilled (or consular-legalised) and with a sworn Spanish translation. The certificate does not have to cover five years: the five-year window belongs to a separate declaration you sign yourself. There is no single validity period, consular practice runs between 3 and 6 months.

    apostille or legalisation sworn translation

    where files get sent back

The certificate is needed from countries of residence over the last two years, while the declaration of no criminal record covers five years. The certificate is not required if you already hold a Spanish permit or an estancia longer than six months and filed it earlier.

26 practice notes for: Argentina, Armenia, Australia, Belarus, Brazil, Canada and 16 more. Opened in the dashboard after the first payment.

  • Who you are

A university/business-school degree in the field (apostilled if not Spanish), or documents proving 3+ years of relevant experience.

    apostille or legalisation

    where files get sent back

For a regulated profession a degree is not enough: you need either homologation to the corresponding Spanish qualification, or a notarised responsible declaration that the profession will not be practised in Spain. Where experience replaces a degree, the UGE expects a vida laboral or its equivalent from the competent authority of the country of origin, matching company letters that state dates and specific duties.

24 practice notes for: Argentina, Armenia, Australia, Belarus, Brazil, Canada and 16 more. Opened in the dashboard after the first payment.

  • Employment

A trade-register extract or registration certificate showing the company has operated for at least 1 year.

    where files get sent back

What is evidenced is genuine and continuous company activity for at least one year, through a trade-register extract from the country of origin or its equivalent. Formal registration is not enough: the UGE looks at the activity itself.

3 practice notes for: Kazakhstan, Russia, Ukraine. Opened in the dashboard after the first payment.

For filing

Gathered yourself or from a third party within days

  • Who you are

Scan of every page with data and visas, including blank ones. Valid for at least 1 year at filing.

  • Who you are

Colour, front-facing, plain background, taken within the last 6 months, needed for the application form.

  • What you live on

Bank statements for the last 6 months plus payslips or client invoices proving the income amount.

    where files get sent back

The three-month bank certificate is read alongside the invoices or payslips, and the movements evidencing payment of those specific invoices must be marked out explicitly in the statement. If contract income falls below the threshold, the gap is covered by savings, and the certificate must cover it for the whole term of the permit, not for a month. The certificate needs the bank's stamp and signature, and an online-banking screenshot will not do. The bank may be Spanish or foreign. The UGE list names both: “certificado/s bancario/s actualizado/s de entidad/es financiera/s española/s o extranjera/s”.

  • Employment

Proves a working relationship of at least 3 months at filing. Freelancers: all current client contracts.

    where files get sent back

The relationship must have lasted at least three months at the filing date. Two UGE points people rarely know: an employment relationship cannot prove a professional one or the other way round, so moving from employee to contractor resets the clock; and the three-month requirement does not apply at all if you already held an initial nomad permit or a nomad visa.

  • Employment

A letter from the employer authorising remote work from Spain (employees), or the remote-work terms written into the contract (self-employed).

  • In Spain

Full coverage in Spain for the whole residence period, no deductibles or co-payments.

    where files get sent back

The policy must cover the same risks as the Spanish public system. The UGE spells out what is not accepted: travel policies, policies built purely on reimbursement of medical expenses, policies with co-payments and policies with waiting periods. If you register with Spanish social security, a separate policy is not needed.

  • Forms and fees

Processing fee under Law 14/2013: Modelo 790, código 038. Indexed every year, the current amount with the order reference is in the cost calculator.

After a positive decision

The way to the residence card: short deadlines, one month from notification

  • Who you are

Colour, front-facing, plain background, recent. Needed at the fingerprinting appointment, separately from the photo submitted with the application. The official document list for the card has just two items, form EX-17 and the fee receipt, while the passport and photograph are asked for at the appointment itself.

  • In Spain

Book through the Policia Nacional system, Extranjeria section, for your province of residence. Book as soon as you are notified: in larger provinces the queue can exceed the one-month deadline.

  • In Spain

Done at the town hall of the place where you actually live. You need an identity document (for a foreigner, the residence card with the NIE, or the passport if the card is not issued yet) and a document proving occupation of the home. That can be a title of ownership (deed, purchase contract, extract from the register) or a current residential lease together with the latest rent receipt. If somebody is already registered at the address, you instead need written authorisation from an adult registered there, who must themselves hold such a title in their own name.

  • In Spain

A lease with the latest rent receipt, a title of ownership, or written authorisation from someone already registered there. Note that the town hall has no power to rule on questions of ownership or tenancy: it needs this document solely as evidence that you really live at the address given. The procedure is municipal and differs in detail between towns, so check the exact list with your own town hall.

    depends on the case

  • Forms and fees

The application form for issuing the residence card. Submitted when you attend the fingerprinting appointment. You have one month from the notification of a positive decision.

  • Forms and fees

Modelo 790, code 012. The fee for the card documenting a first temporary residence permit, paragraph 4.2 of the annex to Orden PJC/617/2025. Check the amount when you pay: it is indexed at the start of each year.

The list for each permit is compiled from the official sources of that procedure. The same list drives the client dashboard.

How to read the list

  • An apostille certifies the signature and seal on a document under the 1961 Hague Convention, not its content. For countries outside the Convention, consular legalisation instead. It is issued in the country where the document was issued.
  • A sworn translation (traducción jurada) is made by a translator on the register of the Spanish Ministry of Foreign Affairs. The order is always the same: document, then apostille, then translation, so that the stamp is translated too.
  • A criminal record certificate does not live long, consular practice is 3 to 6 months, and an apostille does not extend it. So long chains are ordered first and short-lived documents closer to filing.
  • The label «an action, not a file» means just that: the item has to be done, but there is nothing to upload for it. The ENISA questionnaire of the entrepreneur works this way: the report goes to the authority directly, not through you.

What the list leaves out

  • Your country. Which authority issues the certificate, who apostilles it and how self-employment is proven depend on your citizenship and countries of residence. The public list leaves that out, the country notes open in the dashboard after the first payment.
  • The order and timing for your case, and which documents we will review and what we will correct in them. That is the personal map, opened after the first stage of support.
  • Proof of entry into Spain and the fingerprint booking procedure by province: the first is absent from official lists, the second varies by province.

The first stage of support: a meeting, a review of your situation and a personal map with the order, timing, your country and our remarks on every document. Everything free here stays with you in any case.
